Plandent uses the collected information to measure and analyze Plandent’s marketing performance and improve marketing. Data is stored for up to 5 years on secure server connections within the EU.

Our processing of your personal data: We process personal information that you or another party, such as a clinic employee, have provided to us in connection with your engagement with Plandent. Additionally, we continuously process information about your purchases to calculate bonuses or offer you deals or targeted marketing.

We process this personal information to fulfill our contractual obligations to you in connection with bonus settlement and our obligations under the Accounting Act. Without this information, we would not be able to deliver goods or services to you.

Typically, it involves the following personal information:

  • Name, address, phone, email
  • Clinic number, customer number
  • Names of clinic employees

Deletion/Storage Deadlines: We strive to delete (or anonymize) personal information as soon as it becomes irrelevant. However, we always keep them for a minimum of 5 years for accounting law reasons. Often, we store purchase information longer for statistical purposes, such as in connection with ownership changes.

Your Rights under the General Data Protection Regulation (GDPR): In connection with our processing of your personal information, you have several rights:

  • The right to receive information about how we process your personal information (obligation to provide information).
  • The right to access your personal information.
  • The right to have inaccurate personal information corrected.
  • The right to have your personal information deleted.
  • The right to object to your personal information being used for direct marketing.
  • The right to object to automated, individual decisions, including profiling.
  • The right to move your personal information (data portability).

All of the above rights are handled manually by contacting our data protection officer. We may reject requests that are unreasonably repetitive, require disproportionately much technical intervention (e.g., developing a new system or changing an existing practice significantly), affect the protection of others’ personal information, or something that would be extremely impractical (e.g., requests for information found in backups).

If we can correct information, we do so for free unless it requires a disproportionate effort. We strive to maintain our services in a way that protects information from accidental or malicious destruction. When we delete your personal information from our services, it is possible that we cannot always delete associated copies from our archive servers immediately, and it is not certain that the information is removed from our backup systems. You have the right to complain to The Danish Data Protection Agency at any time.

Information We Share: We do not disclose personal information to companies, organizations, and individuals outside Plandent, except in these cases:

  • With your consent: We disclose personal information to companies, organizations, or individuals outside Plandent if we have your consent. We require active consent to disclose all personal information.
  • For external processing: We disclose personal information to our partners or other trusted companies or individuals who process them for us. Their processing is based on our instructions and in accordance with our privacy policy and other applicable confidentiality and security measures, such as our data processing agreement.
  • For legal reasons: We disclose personal information to companies, organizations, or individuals outside Plandent if we in good faith believe that access, use, preservation, or disclosure of the information is necessary to: Comply with applicable laws, regulations, litigation, or valid requests from public authorities.
  • Enforce applicable terms of service, including investigating potential violations.
  • Detect, prevent, or otherwise address fraud, security, or technical issues.
  • Keep Plandent free from harm, our members or the public’s rights, property, or safety, as required or permitted by law.

We may share information that does not identify individuals with the public and our partners. For example, we may share information with the public to show general trends in how our customers’ purchases are distributed (e.g., Intrastat).

Information Security: We work hard to protect Plandent and our customers against unauthorized access, alteration, disclosure, or destruction of personal information we store. We have implemented the following organizational and technical measures throughout Plandent:

  • Antivirus on all IT systems processing personal information.
  • Backup of all IT systems processing personal information; all data is stored and processed within EU borders.
  • Use of industry-standard IT systems for processing activities.
  • Data processing agreements with vendors processing personal information on Plandent’s behalf.
  • Confidentiality agreements with staff needing to process personal information.
  • Guidance on secure processing of personal information and information assets for staff with access to information systems.
  • Implementation of the above risk assessment and documentation of all systems processing personal information to ensure an informed basis for the security level of personal data processing at Plandent.
  • In the event of a data breach or other violation of applicable law, we will report this information to relevant authorities within the deadlines set by the Data Protection Authority.

Compliance and Cooperation with Supervisory Authorities: We regularly review that we comply with our own privacy policy. We also comply with several self-regulating security policies. When we receive formal written complaints, we contact the sender to follow up on the complaint. We collaborate with relevant legislative authorities, such as the Data Protection Authority, to resolve complaints about the transfer of personal data that we cannot resolve directly with our users.

Changes: Our privacy policy may change from time to time. We do not limit your rights under this privacy policy without your explicit consent. Any changes to this privacy policy will be indicated on this page, and if significant changes occur, we will draw attention to them in a more prominent way (for certain services, we also inform about changes via email).
